Privacy policy

ImpactWise Fund Managers, an ImpactWise initiative, runs BaseLab and is the controller of your personal data. This policy explains what we collect and why.

What we collect

• Account details: name, email, phone, town and business name.
• Supplier Passport answers, uploaded documents, supplier profile and bids.
• Alert preferences and the messages we send you.
• Payment status for paid services. Card details are handled by Paddle.com, our payment processor and merchant of record, which receives your name, email, country and payment details; we never see or store your card number.

How we use it

• To run your account, send the alerts you chose and pass your bids to buyers.
• To publish anonymous, combined impact figures.

Who sees it

Buyers see bids sent to their tenders. Your supplier profile is public only if you choose. BaseLab staff can see records to run the service. We do not sell your data.

Why we are allowed to use it

We use your data to provide the service you signed up for, such as your account, bids, orders and invoices (contract). We use it to keep the platform safe, prevent fraud and improve BaseLab (legitimate interest). We send optional messages such as tender alerts only because you chose them, and you can withdraw that consent at any time (consent). We keep financial and tax records because the law requires it (legal obligation).

How long we keep it

We keep your account data while your account is open. When you delete your account, we delete or anonymise your personal data within 30 days, except invoices and payment records, which we keep for 5 years as Namibian tax law requires, and bid records, which we keep for as long as the buyer's procurement rules require. Data we no longer need is deleted or anonymised.

Your choices

You can update your details, stop all alerts, or delete your account from My BaseLab at any time. Ask us for a copy of your data whenever you like: use the privacy request on the Contact page for the fastest reply, or email info@baselab.com.na.

Keeping it safe

Data is stored securely with access limited by role. Documents are private and shared only with the buyer you bid to.
